How-to guide

CRM and customers

Your customer list, Customer 360 and contacts.

Who this is for: anyone managing the full list of people and companies you deal with — adding them, enriching their details, and looking up everything about one customer in one place.

What you need first: nothing extra. Connecting your website's tracking (from the CRM's Website tracking panel) lets IntelligentWolf pick up leads automatically, but it isn't required to start.

How this fits together

The CRM, Leads and Customers all work from the same underlying list — see "Sales: leads, deals and quotes" for how a lead becomes a customer. The CRM is the fullest tool over that list: it's where leads are usually added, imported and enriched. Customers shows only the ones you've won, and opening one takes you to its Customer 360 — a full profile in one place.

Steps

On a brand-new floor, CRM isn't switched on yet — open it and Alex offers a one-line "switch it on" button; say yes and you're straight in, no upgrade needed.

The CRM's List view: total customers, hot/warm/won counts and pipeline value The same CRM as a Pipeline kanban board, grouped by stage The Pipeline board on a phone, scrolling horizontally between stage columns

  1. Open CRM from the navigation. Switch between List view, Pipeline (a kanban by stage) and a spreadsheet-style sheet view using the view switcher at the top.

  2. Add a lead with the add button, or paste from Excel straight into the sheet view for adding several at once.

  3. Import a CSV of leads using the import button if you're bringing them in from another system.

  4. Enrich a lead from its row menu, or run "Update clients" to bulk-enrich every lead that's missing a company or phone number, pulled from their website.

  5. Mark a lead as a client from its row menu once you've won them — this is the same action as marking a deal Won, and moves them onto Customers. Customers, with the Leads, Projects and Support shortcuts and an empty-state prompt

  6. Open Customers from the navigation to see everyone you've won. Search, or add a customer directly if they're already on your books without having been a lead first.

  7. Open a customer's Customer 360 by clicking their row — it brings together their Projects, Invoices & payments, Documents & files, Activity, Emails & conversations, Open tasks, Assigned team, billing details and any custom fields you've set up, all on one page.

  8. Track website visits from the CRM's Website tracking panel, if you've connected your site, to see which leads have been looking at it.

Tips

  • Use the sheet view when you're entering a batch of leads by hand — pasting from a spreadsheet is much faster than the add-one form.
  • Customer 360 is the fastest way to answer "what's going on with this customer" — it's built to show everything about them without clicking through five other screens.
  • A customer you can't find here has probably not been won yet — check Sales → Leads.
