How-to guide

Safety and data protection

How your data is protected, GDPR, two-factor authentication and Alex's guard-rails.

Who this is for: anyone who wants to know how their business data — and their clients' data — is looked after.

The short version

Your data is encrypted, kept apart from other customers, and never used to test new features on a real customer's account. Alex can only see and act on the floor you're on.

What's protected, and how

Your data stays yours, and stays separated

Every floor's data — clients, invoices, chats, documents — belongs to that floor and to the building it sits in. Other customers cannot see it. Staff hired onto one floor only work on that floor: moving them to another floor is always an explicit, confirmed action (see "Transferring staff to another floor"), never automatic.

Alex's practice chat can never reach your real account

IntelligentWolf has a separate practice page where the team tests how Alex talks and behaves. It is completely walled off: anything said or created there lands only in a test sandbox, never in a real customer's floor, and nothing from a real customer's floor ever appears there. This has been proven with an automated regression test that runs on every release, and independently re-checked against the live site with a real browser.

Passwords and sign-in

  • Your password is never stored in plain text.
  • Use a strong, unique password — a password manager is the easiest way to do this.
  • If you forget your password, use "Forgot password" on the login page to get a reset link by email.

Payment details

Card payments are handled by Stripe. Your card number never touches IntelligentWolf's own servers — Stripe stores it, and IntelligentWolf only ever sees a reference to it.

GDPR and your rights

As a UK/EU business tool, IntelligentWolf is built around UK GDPR principles: you control what you collect about your clients, you can export or delete their records, and you decide who on your team can see what. If you need the full data-processing detail for your own compliance paperwork, ask support — this is one of the few things worth a direct question rather than guessing at.

Tips

  • Turn on two-factor authentication if it's available on your account — it's the single biggest security improvement most people can make.
  • Review who has access to each floor from time to time, especially after someone leaves your team.
  • If something looks wrong — data you don't recognise, an email you didn't expect — contact support straight away rather than trying to fix it yourself.

Ask Alex to do this for you

Alex can only ever see and act on the floor it's currently working on — it cannot reach across to another customer's floor, and it cannot reach into the practice/test environment either. You can ask Alex "who can see this floor?" or "show me what data you can see about this client" and get an honest answer about exactly what's in scope.
